How to set up your first client, what to have ready on the wedding day, your account, and answers to common questions.

Getting started: your first client

The order that works for a first client. Everything here is in Matriplan once you're signed in.

  1. Set up a questionnaire

In Settings → Questionnaires, choose “Copy the starter questionnaire”, or create your own. Each question fills in a field on the client's record. Don't ask about allergies or health here: guests give those in their own RSVP.

  2. Add the couple

Still an enquiry? Add it with New lead under Leads, and use “Convert to customer” when they book: that's when you choose the web address of their wedding site. Already booked? Use Add client under Clients, where you can also prepare a contract from a template and set your planning fee.

  3. Send the questionnaire

On the client's Overview, under Questionnaires, choose the questionnaire, tick who should receive it and press Send. You can add a personal message and an automatic reminder after 4 days. Their answers fill in the record for you. You can send one to an enquiry too, before you meet.

  4. Build the guest list

In the client's Guests tab, choose Add guests. Create a household (for example “The Smith family”) and add its guests, with any wedding-party roles. Each household gets its own RSVP code, and so does a guest on their own.

  5. Share the couple's site

The wedding site's address is at the top of the client's Overview. Send each household the address and its code (Copy, in the guest list): guests reply there, with their diets and allergies, and their answers appear in your guest list. To give the couple their own login, enter their email under Client portal access and press Invite.

The wedding day

Each client has an On the day page: the timeline, payments, the people and suppliers to call, dietary needs, seating and your notes on one screen. Anyone with edit access to the client can tick things off as they happen.

Before the day, use Print / PDF to choose the sections you need and keep a paper copy. The printout contains guests' health information: keep it safe and destroy it after the event.

If a colleague is covering, give them access from the client's Overview, under Who has access: view only or full edit, until a date you choose.

We fix reported problems quickly, but we don't offer weekend or wedding-day cover, so keep the paper copy with you.

Your account

Forgot your password?
On the sign-in page, choose “Forgot password?” and enter the email you sign in with. We'll send you a link to choose a new password.
Change your sign-in email
Settings → Account. Enter the new address and your current password. Nothing changes until you open the confirmation link we send to the new address.
Turn on two-step sign-in
Settings → Security → Add an authenticator, then scan the code with an authenticator app. The account's owner can require it for everyone.
Lost your authenticator?
The owner of your account can reset it in Settings → Manage team. Then you set it up again the next time you sign in.
Add a colleague
The account's owner goes to Settings → Manage team, enters their email and presses Invite.
Signed in on a device you no longer use?
Settings → Security → Sign out of all devices.
Your business currency
Settings → Account. The account's owner chooses it once (it can't be changed later), and every amount in Matriplan shows in it. Type amounts with numbers only, like 1.250,50 or 1,250.50.

Common questions

Who is Matriplan for?

Independent planners and planning agencies, from your first wedding to your fiftieth.

Where is my data stored?

In the European Union.

Do my couples need to install anything?

No. They use a link and a simple portal.

Can I use it in Spanish?

Yes. Matriplan and the couple's pages work in English and Spanish.

Can I bring my existing clients in?

You add them yourself. There is no bulk import, deliberately: re-entering them is the quickest way to get properly set up, and we'll help you.

What will it cost after the beta?

A fair monthly price per planner, told to you before it starts.

What if something breaks on the wedding day?

Print the run sheets from the On the day view and keep a paper copy; we also fix reported problems fast, but we don't offer weekend or wedding-day cover.

Do guests need an account?

No. Guests open the couple's wedding site and enter their household's RSVP code.

Where do guests' allergies go?

In each guest's own RSVP, which asks for their consent. Questionnaires and custom fields aren't the place for health information.

Can suppliers see everything?

No. Each supplier gets its own link with only what you choose to share. Links that share dietary details, transport or entertainment expire a week after the wedding.

Can a colleague cover a wedding for me?

Yes. From the client's Overview, give them view-only or full-edit access until a date you choose.

Can I make two-step sign-in compulsory for my team?

Yes. The account's owner can turn on “Require 2FA for this account” in Settings → Security.
