Now in beta. Applications open.

Enter it once. It follows the whole wedding.

Matriplan is the planning system built for independent wedding planners and agencies. From the first enquiry to the last dance, every detail you record is already where it needs to be: on the client record, in the menu, on the floor plan, on the couple's own site.

The Alex & Sam client record in Matriplan: wedding date and venue, guest numbers with diets and allergies, and the planning fee with its payments.

Your business lives in six places. Your head is the seventh.

A spreadsheet for guests. A drawing of the room. A folder of contracts. A note on your phone about who can't eat shellfish. WhatsApp threads you scroll back through to find a date. It works, until the week of the wedding, when everything has to agree.

Matriplan keeps one record per wedding, and everything else is built from it.

From first message to last song, with nothing retyped.

  1. An enquiry comes in.

It gets its own place, and a questionnaire goes out before the first meeting.

  2. It becomes a client in one step.

The answers are already on the record.

  3. The wedding builds itself around it.

Guests, menus, budget, contracts, timeline, suppliers.

  4. The day runs from it.

A clear run of show for you, your team and your suppliers.

Features

Never lose an enquiry

Every enquiry gets a place from its first message. See where each one stands, send a questionnaire before you meet, and turn the right ones into clients in one step. Enquiries are unlimited and cost nothing extra.

  • Stages you can see at a glance
  • Questionnaires sent before the first meeting
  • One-step conversion to a client, with the answers carried over
The enquiry list, each enquiry with its stage, wedding date and where it came from.
An enquiry whose answers to a questionnaire have already filled in its record.

A site for every couple, made for you

Each couple gets their own wedding site, RSVP page, menu choices and portal, created automatically and branded in their colours. You never build one, and your clients see a planner who has it together.

  • Their colours, their details, their own address
  • Guests reply online and the answers land in your guest list
  • A portal where the couple sees what's decided and what's next
A household's RSVP page on a phone, with each guest to reply for.
The couple's wedding site on a phone, asking for the household code to RSVP.

RSVPs and menus without the retyping

Guests reply once. Meal choices and dietary needs flow straight into the guest list and the menu, and nothing opens for choosing until the caterer has confirmed the dishes. No chasing, no copying out of emails.

  • Dietary needs recorded against each guest, with the 14 EU allergens
  • Menus filtered by who can actually eat what
  • Counts you can hand to the caterer
The guest list with RSVP replies, household codes, roles and each guest's dietary needs, under a summary of diets and allergies.
The dietary service list for the caterer: table by table, who has which diet or allergy and the dishes they chose.

Floor plans that match the real room

Draw the room as it is, drop in the tables, and seat guests by dragging them. The plan prints cleanly for the venue.

  • Drag-and-drop seating
  • Printable plans for the venue and caterer
  • Seating that stays in step with the guest list
The floor plan editor: top table, round tables, dance floor, band, bar and entrance, each table showing its seats filled.
Seating plans: guests placed at each table with their roles and seating tags, and the guests still to seat.

Budget, payments and contracts in one place

Track costs in your own categories, see what's paid and what's coming, and generate contracts pre-filled from the client record. Couples can see their payment schedule and are reminded before a payment is due.

  • Your categories, not ours
  • Payment schedules with reminders sent to the couple
  • Contracts signed online, with a clear record of when and who
The wedding budget by category, with estimated and actual costs and each payment's due date and status.
A planning agreement signed online, showing who signed and when.

Suppliers kept in the loop

Suppliers get exactly what they need from a simple link: the details that matter to them, and nothing about anyone else's wedding or your numbers. No logins to manage and no PDF versions flying around.

  • One link per supplier
  • They see their own part only
  • Updates go out when you say they're ready
What the caterer sees through their own link: the floor plan first, then the timeline, menu counts and dietary list.
The wedding's suppliers: update emails on, and a day-before reminder ready for each one.

Build the day, then run it

Build the timeline once, then run the day from a view made for it: what's happening, who's where, who needs to eat what. Hand your team a printable run sheet. Keep a paper copy too, as every good planner does.

  • A day timeline built from the wedding's details
  • A day-of view for you, your team and covering colleagues
  • Printable sheets that need no signal
The On the day view: the day's timeline with times, notes and tick boxes, and tabs for payments, people, suppliers, dietary needs and seating.

Tasks and reminders that find you

Tasks live on the wedding they belong to, and reminders reach you when they matter, not after.

The wedding's to-do list with due dates, appointments and who each task is assigned to.

Documents and inspiration, kept with the wedding

Contracts, floor plans, brochures and quotes sit with the wedding they belong to. Couples can pin ideas to an inspiration board that ends in decisions you can act on.

The inspiration board shared with the couple: ideas by category, marked agreed, open or rejected, with comments.
The wedding's documents: quotes, a brochure and the signed contract, and which ones the couple can see.

Built around how you work

Add your own fields and headings, build your own questionnaires, and work in English or Spanish. Matriplan bends to the way you plan, not the other way round.

A questionnaire being built: sections and questions, each one filling a field on the client record.

A team, with cover when life happens

Add colleagues to your account with the access you choose. Give a colleague temporary access to cover a wedding, or hand a wedding over entirely if a planner can't be there.

Cover access: giving a colleague view-only or full-edit access to a planner's clients until a set date.

Know how your business is doing

See the numbers across your weddings in one place, your fees and income included, visible to you and, if you choose, to the account owner, and to nobody else.

Business numbers: enquiries and bookings by month and by source, and income earned and coming in.

Your black book, built in

Every supplier you work with, with what you know about them, attached to the weddings they worked on.

A supplier in the directory, with notes, pricing and their price list.

Your clients' details, held with care.

Matriplan is hosted in the European Union, and a couple's guest and dietary details stay there. Planners decide who sees what. Suppliers see only their own part. Your earnings are kept in their own separate store, not visible to couples or suppliers, and never fed to any AI.

Someone to ask, and answers you can follow.

Report a problem, ask a question or suggest a change from inside Matriplan, then follow each request until it's done. We reply within 24 hours on working days, and we'll help you set up and enter your first client.

Simple, and fair for how you actually work.

Matriplan is priced per planner, never by how many clients, weddings or guests you take on. No limits to creep up on you in your busiest season. Agencies get team features built in.

Free while we're in beta. Beta planners get free use for their first six months, a preferential rate after that, and first access to new features.

Apply for the beta

What will it cost after the beta?

A fair monthly price per planner. Beta testers are told their rate before it starts, and are never charged without agreeing to it first.

Built with a working wedding planner.

Matriplan was started because planners kept telling us the same thing: the planning is the easy part, the re-entering is the job. It is built alongside a working wedding planner, tested on real weddings, and shaped by the planners who use it.
